1. Scope and controller
This policy covers visitors to the AI Order marketing website and people requesting a demo or information. AI WEB SOLUTIONS LIMITED is the controller for these activities. Company details are listed at the end of this page. Send privacy enquiries to info@ai-order.co.uk.
The company's UK personal data processing is subject to the UK GDPR and Data Protection Act 2018. Other mandatory data protection rules and local rights applicable to your circumstances remain unaffected.
This notice does not replace the agreement governing business, customer or sales records held in the application. The relevant agreements and privacy information must be provided separately for paid application use and processing on a customer's behalf.
2. Information used
A demo or information enquiry may include your business name, name, email address or phone number, the feature you are interested in and message content you choose to share. This information is used to assess and respond to your request.
When delivering and protecting the page, hosting or network infrastructure may process technical information such as IP address, request time, requested page, browser information and error logs. These infrastructure activities are separate from the demo form.
The site code contains no visitor analytics, advertising pixels or third-party marketing cookies. Fonts and images are served from the site's own files. Do not send sensitive information, identity documents or payment card details.
3. Demo form and email
The current demo form does not submit its fields to a server. It uses them to open a draft addressed to demo@ai-order.co.uk in your email application. Opening the draft does not send an email. If you choose to send it, the information is delivered to the recipient through your email provider.
Emails received by us are used to arrange a demo and answer your question. A demo request does not automatically subscribe you to marketing messages. Your email application's and provider's own privacy terms also apply.
4. Purposes and lawful bases
- Responding to demo and information enquiries is assessed as steps before a contract at your request, or legitimate interests in handling business communications.
- Delivering the website, resolving errors and preventing misuse rely on appropriate and proportionate security and operational interests.
- Where records or disclosures to authorities are legally required, the relevant legal obligations apply.
- If an additional activity relies on your consent, separate information and an appropriate choice will be provided. Withdrawing consent does not itself invalidate lawful processing that took place before withdrawal.
5. Retention and sharing
Communication records are kept for as long as needed to handle your enquiry and meet relevant obligations where necessary. Once an enquiry is completed, the need for the record is reviewed; unnecessary personal information is deleted or anonymised.
Authorised team members and email or hosting providers may access information where needed to handle communications and deliver the site. Limited sharing with authorities or professional advisers may occur where legally required. Demo contact details are not a product sold through this website.
If email or infrastructure services process information outside the UK, the transfer requirements under applicable data protection rules must be assessed. You can request details of recipients, retention criteria and transfer safeguards relevant to your enquiry at info@ai-order.co.uk.
6. Browser preferences and temporary draft
Theme and language preferences may be stored in your browser. When switching language, the form draft, billing period, product tab and open questions may be temporarily stored in the same tab. The destination page reads and removes this record; restoration is allowed only within a 60-second transition window. If the transition does not complete, the record may remain for the browser tab's session.
These preference and draft records are not themselves sent to a server. The Cookie Policy describes the storage and how to disable it.
7. Your rights and requests
Depending on the scope and conditions of applicable law, you may have rights to access your information, correct inaccuracies, request erasure or restriction, object to processing, obtain portable data and withdraw consent for activities based on consent.
Send requests to info@ai-order.co.uk. Identifying the activity or communication record involved helps us assess your request. Proportionate identity checks may be needed to avoid disclosing someone else's information.
Requests are answered within applicable legal time limits; the usual period for a UK GDPR request is one month. If a legally permitted extension is needed, its reason and duration will be explained. You may complain to the ICO in the UK, the Personal Data Protection Board in Northern Cyprus, or another competent authority for your circumstances.
8. Policy updates
This policy will be updated if the form, storage or tracking technologies change. Additional information and appropriate choices will be provided for changed activities where required. The update date is shown at the top of this page.
